From enrolment to the last installment, without chasing parents

A course's term starts with a flood of inquiries in August and ends with the last installment in June. In between come trial lessons, enrolments, nine separate due dates, tutor hours and salaries. Müşavir takes the parent or student inquiry as a lead, puts the trial lesson on the calendar, turns the installment quote into a sale and sends a reminder before every due date on its own.

Why collections always lag in a course business

  • Parent inquiries are scattered across WhatsApp, Instagram and phone; nobody knows who was called back.
  • Whether a trial-lesson student enrolled is tracked by hand in a separate list.
  • With nine-installment enrolments, the bank statement is read line by line to see which parent paid for which month.
  • Hours for tutors paid by the lesson are totalled from a notebook at month end, and payroll runs late.

The Müşavir flow in a course business

  1. 01

    Collect inquiries in one list

Parent and student messages from WhatsApp, Instagram and the web form land in the inbox; a new inquiry becomes a lead automatically.

  2. 02

    Trial lesson appointment

A trial lesson is booked from the lead card, an advisor is assigned and first-response time is tracked.

  3. 03

    Installment term quote

Term fee, materials and extra lessons are picked from the catalog; a nine-installment plan is attached and sent to the parent as a link.

  4. 04

    Enrolment: sale and installment plan

When the parent accepts, a sale opens with the installment plan and due dates attached.

  5. 05

    Reminders and collection

Before each due date the parent gets an SMS or email; when the bank statement is imported, each payment matches its installment.

  6. 06

    Tutor attendance and payroll

Tutors check in and out with QR, lesson hours go to attendance, and payroll and the journal entry are created at month end.

Worked example

Example: a course with 120 students and a 9-installment term

In this example the course sets the term fee at 36,000 TL and offers nine equal installments of 4,000 TL from September to May. With 120 students enrolled, 480,000 TL of installments fall due each month. Müşavir reminds parents three days before each due date; when the statement is imported, payments are matched and the list of unpaid parents is on the dashboard in the morning. Lesson hours for twelve tutors flow from attendance to payroll. Figures are illustrative.

The pieces a course business needs

Source tracking

See on each lead whether the inquiry came from an Instagram ad or a referral.

Siblings and group enrolments

Keep a separate sale and installment plan for each child under one parent, and see the parent's total balance on one statement.

Shift and lesson planning

Keep tutors' weekly schedules in shift planning so attendance can be compared against it.

Parent statement

When a parent asks, send the statement of paid and remaining installments in one click.

Where the AI helps

The operations assistant

The assistant prepares the morning list from installment and inquiry records.

  • Answers "Which parents are late for the second time this month?" with a list.
  • Drafts follow-ups to parents of trial students who did not enrol; they are sent after you approve.
  • Writes a polite payment reminder for overdue installments and opens a task.

Frequently asked questions

Do parents need to install an app?

No. Parents open and accept the quote from a shared link; reminders arrive by SMS and email and the statement is sent as a PDF.

Can I set when installment reminders go out?

Yes. You decide how many days before the due date and on which channel. For SMS you can connect your own NETGSM account.

How is payroll worked out for tutors paid by the lesson?

The tutor's pay definition and the hours in attendance feed payroll; social security premium, income tax and stamp tax are calculated and the journal entry is created when payroll is approved.

Are grades and class attendance kept too?

Müşavir is not a student information system; it is the course's back office: inquiries, enrolment, installments, collections, tutors and books. It runs alongside whatever you use for grades and class attendance.
